Organization Background
The Wildlife Conservation Society (WCS) is a US non-profit, tax-exempt, private organization established in 1895 that saves wildlife and wild places by understanding critical issues, crafting science-based solutions, and taking conservation actions that benefit nature and humanity. With more than a century of experience, long-term commitments in dozens of landscapes, presence in more than 55 countries, and experience helping to establish over 150 protected areas across the globe, WCS has amassed the biological knowledge, cultural understanding and partnerships to ensure that vibrant, wild places and wildlife thrive alongside local communities.
WCS Viet Nam Program Overview
WCS has been working in Viet Nam since 2006, focusing on enhancing the commitment, capacity and actions of the government of Viet Nam to tackle the trafficking of wildlife, supporting national partners through developing and implementing highly focused, evidence-based strategies informed by an in-depth understanding of the dynamics of trafficking and the people involved to reduce the profits of crime and strengthen the risk of capture and sanctions. WCS Viet Nam have generated a wide range of reliable data on a number of related issues on illegal wildlife trade, trained and briefed about 4,500 law enforcement and judicial officers, policy makers, journalists, researchers and managers nation-wide and distributed a number of technical handbooks and guides. It has assisted central agencies in reviewing and proposing necessary changes to national legislation, criminal intelligence analysis systems, inter-agency cooperation. WCS Viet Nam has also facilitated Government to Government dialogue through multilateral and bi-lateral collaboration efforts, between Viet Nam and Asian, African and Latin American countries, to detect and respond to transnational illegal wildlife trade networks. Its wildlife health expertise has been leveraged to address unregulated wildlife trade and mitigation of pandemic threats through collaborative research, training, and policy development. In the past decade, WCS Viet Nam has also expanded to work with other conservation organizations and public laboratories towards finding and protecting Rafetus Swinhoei in the wild.
Job Summary
The volunteer will support the collection, cleaning, and organization of data, while maintaining and enhancing WCS Viet Nam’s professional output database covering the period from 2020 to the present. The role also involves ensuring data accuracy, completeness, and consistency to facilitate effective knowledge management and reporting.
Responsibilities
- Access and navigate WCS Viet Nam’s internal folder systems to retrieve and organize project outputs by grant and activity.
- For each activity, create a standardized folder to ensure consistent documentation and easy retrieval.
- Collect and compile all relevant outputs into the corresponding activity folders, including presentations (merged slides, assignments, and appendices if applicable), research proposals, research tools, and final products (e.g., books, training manuals, reports, or other publications).
- Review, verify, and ensure completeness of all files before archiving them into the appropriate folders.
- Record and categorize all documents in an Excel tracking sheet, including file names, classifications, and corresponding links to stored files.
- Maintain accuracy, consistency, and up-to-date documentation of all archived materials to support knowledge management and reporting needs.
- Perform other duties as assigned by the direct supervisor.
Minimum Requirements
- Vietnamese citizen living/studying/working in Ha Noi;
- Studying/working field related to law, science, forestry, agriculture, environment, and information technology or another related field
- Demonstrate skills in database management and record keeping;
- Experience of gathering, structuring, statistics and analyzing, and visualizing data using word processing, spreadsheet software programs such as Excel is preferable;
- Ability to respond effectively to time-sensitive demands & inquiries;
- Ability to complete repetitive tasks such as data cleaning;
- Ability to handle multitasking, prioritize, pay attention to details, and manage time efficiently;
- Intermediate reading and written English skills;
- Concern for wildlife conservation & environmental issues is an asset.
- Relevant work experience in an international business environment or, non-profit sector is an advantage.
